The most common question we probably hear, whether at the office, among friends, or even at home, is: ”What do you actually do as a Project Manager?”

Spoiler alert: it’s not just meetings and spreadsheets! 😊

The short answer would be: “a lot and all at once.”

The long answer… you’ll find below.

First things first, let’s brag a little.

The entire PMO team at Arctic Stream is certified in PRINCE2 or PMI/PMP, which means we genuinely know what we’re doing. These certifications aren’t just “official diplomas”, they’re proof that we have the skills and experience needed to deliver projects: on time, on budget and exactly as required. We use modern methodologies like Agile and Scrum and we juggle AI-powered software tools with ease. The result? Projects that don’t just move forward, they run smoothly, with smart planning, rigorous monitoring and automated processes.

SPOC – not an alien, but a “Single Point of Contact”.

In every project, there’s one person who centralizes all the information: the Project Manager. All communication flows through them, which helps prevent conflicting messages, confusion and missteps. Basically, they act as a filter to ensure everyone receives the same version of the story, from the client to the team and management.

But what does a Project Manager actually do, day in and day out?

More than you’d think:

  • Plan the project down to the last detail: scope, timeline, communication, procurement, risks and issues.
  • Communicates nonstop: acts as the glue between clients, internal and external teams and stakeholders. (Yes, we talk a lot on the phone and in meetings. A lot.)
  • Hunts down risks and invents solutions before problems blow up.
  • Monitors deliverables: checks whether what the team produces is exactly what’s needed, not just “roughly okay.”
  • Organize meetings: kick-off, status updates, and sometimes panic meetings 😊, all to keep the team aligned and management informed.
  • Write reports, minutes and fancy PowerPoint decks.
  • Manages logistics and finances: procurement orders, P&L, invoices, all while keeping a smile.
  • Closes the project in style: clear documentation, lessons learned (so we don’t repeat mistakes) and handover to the operations team.

The secret lies not just in the tasks, but in the values

A good Project Manager isn’t just about flawless plans on paper. In reality, they’re a successful facilitator, the core that supports the smooth development of both the project and the project team. The true strength in project implementation comes from the fact that the entire project team embraces four fundamental values.

  • Continuous and open communication – we don’t let questions hang in the air; we put them on the table and clarify them.
  • Thorough documentation – no “we’ll just wing it,” but everything written down, clear and coherent, so everyone works from the same map.
  • Future-oriented thinking – we anticipate changes, risks and opportunities, considering multiple scenarios and preparing ahead of time.
  • Continuous learning – technology evolves daily, so we constantly learn to stay competitive and relevant.
